optvoo (“we”, “us”, or “optvoo”) operates optvoo.com. We provide marketing, technology, intake, and business-automation services for professional practices. We are not a law firm and do not provide legal advice.
This policy explains what personal information we collect through the website, why we use it, who may process it, and the choices available to you. For privacy questions or requests, email info@optvoo.com with the subject line “Privacy request”.
Information we collect
Information you provide
When you contact us through a form or email, we may receive:
- your name and email address;
- your phone or WhatsApp number, if you provide one;
- your firm, practice, or business name and business type;
- your practice area or market direction;
- a high-level description of the growth or intake problem you want to discuss;
- your choices about the response and optional marketing-consent checkboxes; and
- campaign attribution values such as
utm_source,utm_medium,utm_campaign,utm_content, orutm_term, when they are present in a link to the site.
Please do not submit confidential case details, privileged communications, government identification numbers, health information, financial-account information, immigration histories, or other sensitive matter facts through this marketing site. We do not need those details to respond to a Growth Review request.
If you use the site’s email handoff, your email application and email provider may process the message. The website does not treat opening that handoff as proof that an email was sent.
Information collected automatically
The site and its hosting or measurement services may process technical information such as the requested page, referring page, browser or device characteristics, network information, approximate location, and performance or usage events. We use this information to deliver, secure, troubleshoot, and improve the site and its content.
Vercel Web Analytics and Speed Insights may run on production pages. Google Analytics 4 and Microsoft Clarity are optional and are loaded only after you accept the site’s analytics choice, and only when their project identifiers have been configured.
Article pages also offer a Google Preferred Sources control. The control is not required to browse the site. If it loads or you use its link, Google may process technical information and your source-preference activity under Google’s own policies.
How we collect information
We collect information:
- directly from forms, email messages, and choices you make on the site;
- automatically through hosting, performance, security, and analytics technologies; and
- from service providers that process information for us when a provider is enabled for a stated purpose.
We do not knowingly request or intentionally collect children’s information through this business-focused website.
How we use information
We may use information to:
- respond to your inquiry and arrange a follow-up conversation;
- understand your business context at a high level and prepare a proposal when appropriate;
- communicate with you about an active request or engagement;
- operate, secure, troubleshoot, and improve the website;
- understand which content and campaigns help professional practices find optvoo;
- send optvoo insights or invitations when you have separately opted in to marketing; and
- meet legal, regulatory, security, and record-keeping requirements.
We do not use a request for a response to subscribe you to marketing communications. Marketing emails require consent, must include an unsubscribe mechanism, and we will respect unsubscribe requests.
Legal grounds and choices
The legal ground for processing depends on your location and the purpose. Where required, we ask for consent before optional analytics or marketing communications. For an inquiry or proposed engagement, we may process information to respond to your request, take steps at your request before a contract, perform a contract, pursue a permitted legitimate interest, or meet a legal obligation, as applicable. We will not treat this general description as permission to use information for an incompatible purpose.
You may decline optional analytics without losing access to the site. You may withdraw marketing consent at any time by using the unsubscribe link in a message or by contacting info@optvoo.com.
Service providers and disclosures
We may share the minimum information needed with service providers that help operate the site or respond to requests:
- Vercel for website hosting, Web Analytics, and Speed Insights;
- Google for the Preferred Sources control and, only if enabled after the site’s analytics choice, Google Analytics 4;
- Microsoft for Clarity interaction analytics, only if enabled after the site’s analytics choice;
- an email provider when you email us or use the email handoff; and
- Brevo, only if the server-side Growth Review endpoint is enabled, for contact-list management and team notifications. The current production site uses an email handoff when that endpoint is not configured.
We may also disclose information where necessary to comply with law, protect rights and safety, investigate abuse, or support a business transfer. We do not sell personal information. We do not currently load Google Ads or Meta Pixel tags on the website. If advertising pixels, conversion tags, or other non-essential marketing technologies are added, we will review the consent controls and update this policy before enabling them.
Service providers may process information in countries other than the country where you live. We remain responsible for selecting appropriate providers and safeguards for information under our control. Ask info@optvoo.com for current provider and transfer details.
Retention
We keep contact and email messages only for as long as reasonably needed to respond, manage a resulting proposal or engagement, maintain necessary business records, resolve disputes, or meet legal obligations. We keep marketing-consent and unsubscribe records as needed to respect your choices and demonstrate how a subscription was managed.
Technical and analytics information is retained according to the applicable provider settings and our operational need. We do not keep information longer than necessary for the purpose for which it was collected, subject to legal and security requirements.
Your rights
Depending on where you live and which law applies, you may be able to ask us to:
- confirm whether we process information about you and provide access to it;
- correct inaccurate or incomplete information;
- delete, anonymize, block, or restrict information where the law provides that right;
- explain relevant purposes, categories, sharing, and processing practices;
- withdraw consent where processing is based on consent;
- object to certain processing or direct marketing; and
- provide information needed to exercise other rights available in your jurisdiction.
To make a request, email info@optvoo.com. We may need to verify your identity before disclosing or changing information. We will handle requests within the period required by applicable law and explain any lawful reason we cannot fulfill a request. You may also contact the privacy regulator or authority available in your jurisdiction.
Cookies and browser storage
The site uses browser storage to remember whether you accepted or declined optional analytics. Optional Google Analytics 4 and Microsoft Clarity scripts do not load through this site unless analytics has been accepted and the relevant identifiers have been configured. Your browser may also receive or store technical identifiers from hosting, performance, or third-party features. Browser settings and content blockers can limit some features, including the Google Preferred Sources control.
Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the information and the way it is processed. No website, email system, or transmission method can be guaranteed completely secure. Do not send confidential matter information through this marketing site.
International visitors and applicable law
Privacy rights depend on your location. This policy is intended to describe our practices without limiting rights that cannot lawfully be waived. Canadian privacy laws may include federal or provincial private-sector rules, and Brazilian visitors may have rights under the Lei Geral de Proteção de Dados Pessoais (LGPD).
Changes to this policy
We may update this policy when our practices, providers, or legal obligations change. We will post the revised version on this page and update the date above. If a change materially affects how we use information, we will provide any notice or choice required by applicable law.
